Springhouse helps companies preserve their workflows with Power Automate

Summary: SharePoint 2010 workflows retired at the beginning of August and will no longer run this November. Springhouse can help you move to Power Automate.

Companies that use SharePoint Online and have workflows established using the SharePoint 2010 workflow platform need to migrate those before November 1, 2020.

Microsoft retired the SharePoint 2010 workflows on August 1, 2020, and will no longer offer them within new SharePoint Online tenants. SharePoint 2010 workflows will be removed from existing tenants where Power Automate is available as a replacement solution. This is pretty much everyone except the Department of Defense. No new or existing 2010 workflows will run.

Even though SharePoint 2013 workflows are still currently available, Microsoft plans to retire them on a future date and so Springhouse recommends moving directly to Power Automate or another supported solution, like Nintext Workflows.

According to Microsoft, “After August 1, 2020, new Microsoft 365 customers can use SharePoint 2013 workflows or Power Automate. However, SharePoint 2013 workflows will follow a similar retirement path in the future, so it’s highly recommended to use Power Automate or other supported solutions. You won’t lose any content during the transition. However, all migration of workflows is a manual process.”

Identified Customer Impact

In addition to any custom crafted SharePoint 2010 workflows, the following built-in SharePoint 2010 workflows will be impacted:

Approvals: This workflow routes a document or an item to a group of people for approval.

Collect Feedback: This workflow routes a document or an item to a group of people for feedback. Reviewers can provide and compile feedback to send to the person who initiated the workflow.

Collect Signatures: This workflow routes a Microsoft Office document to a group of people to collect their digital signatures.

Classic pages publishing Approval: This workflow is like the Approval workflow in that it automates the routing of draft pages to subject matter experts and stakeholders for review and approval.

Three-state: This workflow can be used to manage business processes that require organizations to track a high volume of issues or items, such as customer support issues, sales leads, or project tasks.

SharePoint Modernization Scanner Tool

To get you started, Microsoft developed a SharePoint Modernization Scanner Tool to audit classic sites prior to updates. Microsoft states the following ways the scanner will provide modernization insights.

Optimizing the usage of modern list and libraries
Connecting these sites to a Microsoft 365 group
Modernizing the wiki and web part pages by creating modern site pages
Rebuilding classic publishing portals as modern publishing portals
Understanding the location of classic workflow
Recognizing InfoPath processes
Finding the usage of classic blog pages

Springhouse will identify what areas of your classic site need updating, and the steps you will need to take to have your workflows run as intended.
